Job Title:                    Administrative Assistant

Location:                   Mayville State University, Mayville, ND

Compensation:         $33,389 -$40,066 - depending on experience

Position Information: 

This position provides administrative assistance to the divisions of Math/Science and Liberal Arts.

Key Competencies:

  • Strong organizational skills
  • Excellent communication skills - interpersonal, oral and written
  • Demonstrates strong working knowledge/skill of Microsoft Office technology
  • Ability to prioritize and be self-motivated

Minimum Qualifications:

  • Two-year AA or AAS
  • At least one year of office experience

Duties and Responsibilities:

Perform divisional administrative assistant responsibilities:

  • Answer division telephone, relay information or transfer calls to appropriate individuals
  • Greet visitors, answer questions and/or direct them to appropriate individual(s)
  • Get mail daily/deliver mail to division faculty
  • Respond to student information requests
  • Compose routine correspondence for division chair
  • Process paperwork for division projects (proposals, reports)
  • Process term schedules-create spreadsheets and faculty overlay/room schedules
  • Assist with catalog revisions-process forms, proof documents
  • Prepare and distribute materials for division meetings (agenda and minutes)
  • Maintain office equipment and supplies
  • Order supplies and teaching/research materials
  • Create and maintain prospective student database in coordination with division faculty
  • Help with contracts and faculty load worksheets (full time faculty produce their own, AA help with DC & Adjunct)
  • Assist with organization of faculty course evaluations
  • Run CSSR upon request of division chair
  • Attend necessary trainings


Perform miscellaneous duties.

  • Make travel arrangements for faculty-transportation, lodging, process travel reimbursement claims
  • Research and gather information for assigned projects
  • Assist faculty with lab kits
  • Proctor exams with proper notification
  • Perform other duties as assigned
  • Assist division chairs with tracking budgets, expenditures, revenue
  • Assist with tracking of club funding - budgets, expenditures, revenue, as requested information
  • Work at registration tables and assist with promotional activities, seminars, and events (example, outreach assistance, help with scheduling).
  • Assist in scheduling equipment, rooms, and refreshments
  • Handle participants' correspondence and registration materials
  • Create brochures, and flyers for publicity purposes
  • Develop programs, tickets, and posters for divisional needs
  • Assist with mass mailings and individual mailings for the divisions.
  • Assist with promotional activities, seminars, and events (example, outreach assistance, help with scheduling).
